Contacts

Contacts are your candidates and prospects. The CRM syncs with the ATS database so you have one unified record per person.

Searching Contacts

Click Contacts in the top nav.

Use the search bar to filter by name, email, phone, specialty, or location. Search is live as you type.

Use the Stage filter dropdown to show only contacts at a specific pipeline stage.

Click any row to open the Contact Detail Panel on the right.
Pipeline Stages
StageMeaning
New LeadCandidate is in the database but no active outreach yet.
QualifiedPhone screen completed, candidate meets baseline criteria.
SubmittedResume sent to a client. Awaiting client feedback.
InterviewingClient has scheduled or completed at least one interview.
OfferClient has extended a verbal or written offer.
PlacedCandidate has accepted and a placement has been logged.
InactiveNot currently pursuing. Stays in database for future searches.
Adding a Note or Call Log

Open the contact's detail panel by clicking their row.

Scroll to the Activity section at the bottom of the panel.

Click Add Note or Log Call and fill in the details.

Click Save. The entry appears in the activity timeline immediately.
Changing a Pipeline Stage

Open the contact detail panel.

Find the Stage dropdown near the top of the panel.

Select the new stage. The change saves automatically and the Insights charts update in real time.
Tip: The Insights tab shows a live breakdown of how many contacts sit at each stage. Use it to spot bottlenecks in your pipeline at a glance.
