This is the recommended daily flow for recruiters using both the CRM and ATS together. Follow this pattern to stay on top of the pipeline, candidates, and client activity.

CRM Dashboard: read your hero banner. It flags overdue tasks, hot candidates with pending actions, and open job orders that need attention today.

Check evening sync email: the prior day's sync landed in your inbox at 4:30 PM. Review the Must Know section before starting outreach.

Insights tab: scan the pipeline. Any stage with zero movement for 5+ days is a bottleneck. Click the bar to see who is stuck.

ATS Advanced Search: search by specialty + state + availability = Active or Passive to find candidates for open roles.

Open the candidate record. Check notes for any prior contact history before reaching out.

After a call, log the call in the CRM contact panel (Activity → Log Call). Update stage if appropriate.

If the candidate qualifies, move them to Qualified stage and link them to the relevant job order.

Move the candidate to Submitted stage in the CRM when you send their resume to the client.

Add a note to the contact record with the submission date, client name, and role.

If the client schedules an interview, move to Interviewing. Log the interview date in the notes.

When the candidate accepts: move to Offer stage immediately.

When they start: go to Placements → + New Placement. Fill in candidate, client, fee, start date, and invoice number.

Set Invoice Status to Pending. Move to Paid only when the ACH lands in Relay.

Move candidate to Placed stage.
